This is a demo of the dashboard that gyms and coaches use to manage clients, challenges and their team. It is not the client app. For client app walkthroughs you can send straight to your members, there is a full library of videos in CalCoach University.
Clients
Your client list
Every client in one list. Add a new one the same way you do on mobile: invite them directly or send your invite link.
Diary
Calories, macros, goals and steps for any day, the raw logs behind them, and an AI summary of the day whenever you want one.
Goals and habits
View and manage a client’s goals, set the habits they are working on, and keep coaching notes on their file.
Charts
Spot the trend fast: the days they went well over, and the days they did not log at all. Those are the days worth a conversation.
Reports
Generate a seven day report with or without micronutrients like sodium and fibre, then download it or share it straight with the client.
Profile
See at a glance whether notifications are on and the health app is synced, plus login streaks and body metrics from each weigh-in.
Meal plans
Built by AI in seconds
Ask for a plan at 1,900 calories a day and it comes back within seconds, with a summary of what it built.
Change any ingredient
Change a quantity and the calories and macros update instantly. Search the food database to add anything else.
Reuse days across the week
Put the same lunch on any other day, drop what you do not want, and see each day’s totals.
Assign it to clients
Tick the clients, choose a start date, and the plan lands in their food diary for them to tick off.
Calendar view
Swap meals between days in a couple of clicks.
Challenges and your team
Create a challenge
Pick the type, such as a protein challenge scoring a point for every day the goal is hit, set the dates, and keep it private so people join by invite.
Teams and invites
Turn teams on, name them, then invite clients in so they compete as groups as well as individuals.
Team members
Split clients by coach, which is what gyms and larger personal training teams need. Pick a client, pick the coach, done.
Screen sharing with a client
Hide the sidebars on a video call so no other client’s information is on screen and you stay locked to the one in front of you.
It’s finally time. We’ve released the CalCoach coaching dashboard, which is the easiest way to manage all of your clients, so I’m going to give you a little tour around today. We’re going to go left to right. We’re starting in this sidebar here. We’re on the first tab, which is clients. We’ve got three sections here. First section is where we’re going to see all of our clients, and you’ll see I’m in a demo account, so I’ve just got the one client here, which is me. If you want to add a new client, it’s the same process as on mobile, where we click add, where we can invite them or send them our invite link.
Now the next section, this is broken down into five tabs. The first tab is diary, where we can see the calories for each day, their macros for each day, their goals, see their steps, view their logs if we want to, and create an AI summary for whatever day we want to.
The next tab is goals. So this is where we’re going to view and manage our client’s goals from. We’re also going to manage their habits from here, add any coaching notes that we want, and then we’ve got a few additional options at the bottom as well.
The next tab is charts. This is where we can spot trends, so we can see that this client, me, has done pretty well, but there’s just been a couple of days where I’ve gone absolutely overboard, and there’s a couple of days where I haven’t logged. So if this was our client, we’d know that these were the days we needed to focus on to try and stop this happening again.
Now let’s go to the reports tab. So you see I’ve just generated one report here, which I could download, or I could share directly with a client if this was theirs, but we can easily create new reports. In this sidebar, we can create a seven day report, either with or without micronutrients, which is a new feature recently added, so we can go even deeper. Things like sodium and fibre, that’s all included with these micronutrient reports.
So next up, we’ve got profile. We can see at a glance if a user’s got their notifications on and their health app synced. We can also see their login streaks, and we can see any additional information like their body metrics for when they’ve had their weigh-ins. That’s everything covered in clients.
Let’s hop into meal plans. Now I’ve gone ahead and created a meal plan here for 1,900 calories a day. Now we can see how quick this was to create. I’ve literally just asked for a meal plan, and then within a few seconds, it’s given me a summary and created that meal plan, and this is exactly what it’s created.
So we can go into any meal, break it down, we can see the ingredients, we can see the quantities, and we can see the calories and macros, and changing this is as simple as clicking on this and changing the quantity. So if we want to update this to 100 grammes of oats, you can see it’s updated the calories to 475, and it’s updated the macros as well. We can add ingredients to it. So let’s go on a lunch, and let’s say we want to add some broccoli in here. We can search in our database for broccoli. There we go, Tesco broccoli. It’s added 100 grammes, let’s say you want 150. We’ll change that, and look guys, this is how easy and how quick it is to update meal plans.
So we’ve actually got this one set to Monday, Wednesday and Friday. So if we go in Wednesday, we’ll see for our lunch we’ve got the chicken and salad wrap there as well. Now let’s say we wanted this same lunch every single day, Monday to Friday. We can simply add this down as Tuesday and Thursday as well, and if we go into Thursday, we’ll see that’s been added, and we can just go ahead and remove that tuna pasta salad which we had in there before. This means that creating a meal plan from scratch instead of using AI is also super, super quick, and for every single day we can see the breakdown of calories and macros for that day. Super quick and super flexible.
Now we’ve not currently assigned this to any client, so let’s go ahead and do that. If we click on this button up here, this is where we’ll see a list of our clients. We can tick our one and only client in here. We can say, right, we want this to start next week, and then we’ll go ahead and assign that, and we’ll see now that we’ve got this assigned for one client here, and that will show up as of Monday in our client’s food diary, and all they have to do is tick off the meals. We’ve done everything we possibly can here to help your clients hit their nutrition goals.
Final thing to show you with meal plans is we can go into calendar view, and let’s say there’s one day where we want to swap a couple of meals. Let’s say we want this Friday porridge on Saturday, and we want the scrambled eggs on Friday. That’s how easy it is to swap meals. It took seconds to do that.
That’s enough on plans. Let’s go ahead and have a look at challenges. So I’ve created my own August challenge here, just a tracking challenge, and let me go and show you how easy it is to actually create a new one. So if we go to new up here, we select the kind of challenge that we want. Let’s do a protein challenge. You get one point for each day that you hit your protein goal. I’m going to leave it on private, which means people need to be invited to this. And when does the challenge run? Let’s have this run for the whole of August.
There we go. We can switch teams on, so I’m going to add a couple of teams. I’m going to call this red team, and I’m going to add blue team, and then I’m going to be able to add people to these teams, and they’re going to compete as two groups as well as competing against each other. Now, I’m just going to call this August protein challenge. I am going to invite my client. There we go, and if we go to teams, we’ll see because there’s two of us, we’ve each been added to a separate team.
So that’s enough on challenges. Let’s go ahead and have a look at the final tab, which is team members. Now, big organisations like gyms or larger personal training teams, they’ll want to split clients out by coach, so this is exactly where you do this. Let’s say I want to assign this member to this member of staff. I can click on here, then assign the coach and select who I want to assign them to.
Okay, so final thing. If you want to share your screen with a client on a video call, you don’t want to be sharing other clients’ information, so we allow you to hide these bars accordingly, and then you’re locked into just this single client and show them where they’re smashing it, and exactly where they’re struggling, and how to get back on track. So I hope that’s helpful. If you need anything at all, we’re always here. Just reach out.
